Legal obligations:

  • Maintenance and storage of Association Official Records
  • Scheduling and hosting of inspections of Official Records
  • Responding to inquiries as required by law
  • Interacting with DBPR and other government agencies
  • Preparation, mailing, and posting of mandatory notices for required meetings including Annual Meeting and Budget meeting notices
  • Cooperation with association attorneys in legal actions to which the association is a party
  • Amendments to association documents from development through voting and recording
  • Filing of Annual Reports with the Secretary of State
  • Issuance of Certificates of Estoppel

Intra-Association Issues:

  • Preparation and mailing of correspondence to members
  • Preparation and mailing of voting packages including:
    • Vote to waive or reduce statutory reserves
    • Vote to approve a material alterations
    • Vote to waive or reduce financial reporting requirements
    • Vote for election of directors
    • Vote to approve amendments to governing documents
  • Transcription of meeting minutes
  • Transcription and mailing of community newsletters
  • Development and administration of parking control policies
  • Coordination and assistance in turnover of associations from developer to owner control

Applications for transfer by sale or lease:

  • Provide application forms to prospective buyers or tenants
  • Receive and review applications for completeness and accuracy
  • Obtaining credit and criminal background checks on prospective buyers or tenants
  • Forward completed applications to the board of directors or its designated committee for review
  • Issue Certificates of Approval or letters of denial to applicants

Association insurance:

  • Maintenance of association insurance policies

  • Provide information to owners for obtaining Certificates of Insurance
  • Maintenance and issuance of FEMA letters
